This guide walks through the bulk uniform ordering process step by step.
Step 1 — Know Your Requirement Before You Call
Before contacting a supplier, gather the following: total headcount needing uniforms, number of sets per person (most businesses order 2–3 sets per staff member), uniform type, approximate size distribution across your team, your logo in high-resolution format, and your brand colours.
Having this ready makes the first conversation with your supplier faster and gets you a more accurate quote.
Step 2 — Get a Quote
Contact the supplier with your basic brief. A good supplier will ask clarifying questions about your requirement, advise on fabric options that suit your industry, provide a unit price broken down by garment type, and confirm lead times clearly.
Be wary of very fast quotes with no questions asked — accurate quotes require understanding your requirement.
Step 3 — Request a Sample
Before committing to a full production run, request a sample garment. This lets you check the fabric weight and feel, review the fit across a couple of staff members’ sizes, approve the logo embroidery or printing quality, and confirm the colour matches your brand specification.

Step 4 — Confirm Your Size Distribution
Sizing is one of the most common causes of problems in bulk uniform orders. The best approach: measure a sample of your staff, then extrapolate your size distribution across the full team. Order a small overage of around 10% in the most common sizes to cover replacements and new starters.
Step 5 — Approve and Confirm
Once you are happy with the sample, confirm your order in writing with quantity per size per garment type, agreed price per unit, total order value, agreed production and delivery timeline, and payment terms.
Step 6 — Production and Delivery
Standard lead times for bulk uniform orders in Qatar: simple garments with basic embroidery take 7–14 working days; complex garments with multiple embroidery placements or special fabrics take 3–4 weeks; very large orders of 1,000 or more pieces should have timelines confirmed at the quote stage.
Step 7 — Inspect on Delivery
When your uniforms arrive, check a sample of the delivery against your approved sample. Count against your order confirmation, check logo placement and quality on a cross-section of garments, and check size labelling matches the garments. Flag any issues immediately.
